What are User Group Managers?
User Group Managers are Slack workspace admins who have granted Rotation App permission to create and manage user groups on their behalf. This feature enables Rotation App to automatically create and maintain user groups for your rotations without requiring manual workspace setting changes.
Why does this exist?
- By default, Slack only allows workspace admins to create and manage user groups.
- Rotation App runs as a bot user and is not a workspace admin, so it cannot create or update user groups by itself.
- One option is to change a workspace setting to allow all members to create and manage user groups, but many teams prefer not to relax that policy.
- User Group Managers provide a secure alternative: specific admins explicitly authorize Rotation App to perform user‑group actions on their behalf. This keeps your workspace settings unchanged while enabling rotation user groups for easier @mentions.
Who can grant and manage this permission?
- Workspace admins or owners in the Slack workspace where Rotation App is installed.
- Any number of admins can grant permission; all will appear in the list of User Group Managers.
How to Access User Group Managers

Go to Rotation App’s Home tab:

Locate the User Group Managers button:
In the Home tab, you’ll find a User Group Managers button in the top section of the interface. -
Open the User Group Managers dialog:
Select the User Group Managers button to view and manage current permissions.
Grant permission
To add a new User Group Manager:
- Open the User Group Managers dialog (as described above)
- Select “Grant permission”:
If no User Group Managers exist, you’ll see an empty state with a “Grant permission” button - Follow Slack’s authorization flow:
Slack will guide you through a secure permission granting process - Confirm the permissions:
Review and approve the specific permissions Rotation App is requesting
Once completed, the new User Group Manager will appear in the list.
Revoke permission
- Open the User Group Managers dialog (as described above)
- Select “Revoke permission” next to your name.
The entry disappears from the list and Rotation App will no longer be able to manage user groups on your behalf.
Security and scope
- The permission is granted using Slack’s standard, secure protocols.
- Rotation App only receives access needed to manage user groups; it does not gain access to your messages or channels beyond what is required for user‑group operations.
- The permission is tied to the admin who granted it and can be revoked at any time from the same dialog.
Troubleshooting

I don’t see the “User Group Managers” button:
- Ensure you’re on the Home tab of Rotation App and that the app is installed in this workspace.
- You must be a workspace admin or owner to grant permission.

My name doesn’t appear after granting permission:
- Close and reopen the dialog to refresh the list.
- Confirm the Slack authorization completed successfully.

We don’t want to grant individual permissions:
- You can still use rotations without Slack user groups. However, creating and auto‑maintaining user groups for @mentions requires at least one User Group Manager.
- Another option is to change your Slack workspace settings to allow all users to create and manage user groups.
